JRS Malta is seeking to recruit a full-time Front Desk Coordinator for a period of 8 months, to manage front desk and hospitality activities in a busy drop-in service environment. The selected candidate will also be required to assist in other JRS-Malta projects, as needed.

The front desk at JRS Malta serves as a hub for hospitality, screening of needs, phone communication, and registration for both drop-in and scheduled services.  JRS-Malta clients are multilingual and multicultural, and present with a wide variety of questions, requests, and levels of urgency.  The front desk is responsible for sensitively screening the client’s need and engaging the best staff member to address that need.  Front desk also takes the lead in managing the flow of clients through services and providing hospitality to waiting clients.

The selected candidate will perform all needed front desk and hospitality activities during office opening hours.

Terms and conditions

The selected candidate will be offered a 8-month full-time contract with the possibility of renewal, pending return of the permanent front desk coordinator. Salary offered will be commensurate to experience.



Applicants must:

➔        be in possession of a degree equivalent to Level 6 of the Malta Qualifications Framework in health and/or social care

➔        have experience providing hospitality in a fast-paced, multi-tasking environment

➔        have experience working with vulnerable or marginalized social groups

➔        be able to speak and write English fluently

➔        be able to work independently and take initiative

➔        have excellent communication and organisational skills

➔        be flexible and have the ability to work in a team

➔        be willing to work with and for people from diverse cultures

➔        demonstrate patience, compassion, and adequate coping and conflict resolution skills

Previous experience in the refugee field, previous volunteer experience with JRS Malta, and proficiency in one or more of the following languages - Arabic, Maltese, French, or Spanish - will be considered an asset.


Job description

The selected candidate will be expected to work as part of a team, including to learn and help with other drop-in and outreach roles as needed.

The INTERIM FRONT DESK SPECIALIST will be primarily responsible for:

➔        Opening the office and registration of clients on drop-in days;

➔        Basic screening of client needs;

➔        Managing the reception area;

➔        Making people feel welcome;

➔        Dealing with queries;

➔        Emotional management and boundary-setting when needed;

➔        Following up with clients after drop-in to ensure satisfaction;

➔        Prioritising cases and managing case flow;

➔        Working with cultural mediators to ensure that adequate interpretation is provided;

➔        Taking phone calls and delivering messages;

➔        Participating in weekly drop-in follow-up meetings;

➔        Helping with practicalities such as copies, scanning, and printing;

➔        Assisting with drop-in, outreach, and other in-office activities as required.
